Key Responsibilities:

  • Provide executive-level administrative support to senior leaders, including calendar management, meeting scheduling, and coordination of complex domestic and international travel
  • Prepare and process expense reports; manage confidential and sensitive information with discretion
  • Serve as a gatekeeper for executive communications, prioritizing inquiries and maintaining efficient workflows
  • Act as a key point of contact for clients, ensuring prompt, professional responses and supporting client engagement processes (e.g., opening new matters, preparing engagement letters)
  • Assist with the execution of strategic goals and business development initiatives
  • Coordinate internal meetings, team events, and firm-wide activities; handle logistics and communications as needed
  • Draft, edit, and proofread legal and administrative documents; maintain organized and compliant records
  • Support internal communications and collaborate with marketing and business development teams to enhance visibility and branding initiatives.

Qualifications:

  • 2–7 years of Executive Assistant experience in a law firm or professional services environment (required)
  • Proven experience supporting senior / c-suite executives
  • Strong proficiency in managing complex calendars and coordinating international and domestic travel
  • Experienced in handling confidential information with discretion and skilled in drafting and proofreading business and legal documents
  • Comfortable collaborating across departments such as marketing, business development, and operations
  • Bachelor’s degree strongly preferred
  • Professional, detail-oriented, and able to manage multiple priorities with excellent communication and interpersonal skills
