Job Description

Description The Boyce Thompson Arboretum is seeking a Historical Archivist that is passionate about historic preservation and collections management to support the care and organization of 100 years’ worth of historical archives. This is a temporary position and not an on-going role. The position is responsible for the access to, professional care, daily management, and maintenance of the Arboretum’s archives including its organization, preservation, and storage. The temporary Archivist refines, implements, and upholds archival policies and procedures with regard to processing, documenting and accessing archival collections. Collaborating closely with the Assistant Director, this limited duration, donor funded position will assess, organize, and catalog all material documents, photographs, and other historical records. Additional responsibilities include establishing guidelines for cataloging and maintaining the historical repository, making recommendations for long-term storage, supporting digitization efforts, and identifying materials of high historical significance for preservation or potential use in communications or outreach materials. Salary is $30/hour; 20 hours per week. Requirements

RESPONSIBILITIES:

Responsible for creating a complete inventory of all archival materials (photos, slides, print materials, digital images, maps etc). Create and implement a historical archive storage plan that preserves the items for the future. Evaluates and coordinates the rehousing and stabilization of archives. Responsible for providing scans of images and documents as needed using appropriate digital and metadata standards. Responsible for archival maintenance. Ensure accurate and up-to-date inventories of archival assets. Works collaboratively with Volunteer Coordinator to engage volunteers in archival tasks as needed. Responsible for researching and responding to copyright and ownership issues. Assists with the creation and compliance of institutional policies related to archives. Oversees housekeeping as pertains to archives. Responsible for creating a budget and purchase of approved archival supplies. Advises the organization in the creation, development, and implementation of collections management policies; archives procedures; departmental goals and preservation planning. Implements and refines the organization’s records retention program in accordance with local, state and federal law. Conduct training for staff regarding records management and transfer of relevant records to the permanent institutional archives. Work with the Assistant Director and the Director of Development in preparation of funding proposals, reports, and other associated documents. Responsible for implementation of archival grant awards. Maintain the research library during the term of their position. Acts as an enthusiastic advocate and personal representative for the Arboretum in the community by promoting its resources, programs, and services.

EDUCATION AND EXPERIENCE:

M.A. or M.L.I.S. in Archives, Library Science, Museum Studies, or related field with formal training in archives management and preservation or commensurate experience or a master’s degree level student in Archives, Library Science, Museum Studies, or related field with formal training in archives management and preservation or commensurate experience. 2 years of archives experience required, preferably in a non-profit setting. Experience and training in records management. Experience with professional archives management software and environmental monitoring applications. Must have a valid AZ Driver’s License or ability to obtain one. Clean driving record required.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of archives preservation requirements, storage needs, and registration procedures for archives. Up-to-date knowledge of professional standards and trends. Familiar with governmental regulations and legal requirements related to archives and experience in compliance with same. Familiarity with records produced by natural science, cultural and fine arts sources. Awareness of tribal cultural sensitivity issues. Strong organizational skills and attention to detail. Ability to read, understand, follow, and enforce safety procedures. Detail-oriented, collaborative manner, and strong work ethic. Ability to work independently and as part of a team. Ability to demonstrate initiative, establish priorities, and meet deadlines. Excellent interpersonal and customer service skills. Excellent written and oral communication skills. PHYSICAL REQUIREMENTS:

Must be able to sit, stoop, stand for extended periods of time, lift heavy containers (50 lbs.) and handle fragile items.
