Job Title: Practice Administrator

Overview

The Practice Administrator (PA) provides leadership to office staff, fostering a positive and collaborative work environment. As the first and last point of contact for visitors, the PA embodies our Above & Beyond approach to patient service and sets the tone for every appointment. This role oversees administrative duties to ensure a welcoming environment and may step into Front Desk or Medical Assistant responsibilities when needed.

Compensation: $52,000 $62,000 annually. Exact compensation may vary based on skills, experience, and education.

Key Responsibilities

Leadership & Management

  • Lead office staff and promote a positive, team-oriented culture.
  • Implement scheduling improvements to meet practice goals.
  • Manage doctor schedules and new patient allocations.
  • Confirm patient appointments and manage recalls.
  • Serve as the primary point of contact within the practice.

Financial Management

  • Ensure front desk collects all balances (copays, patient balances) with professionalism.
  • Oversee insurance verification and authorizations.
  • Confirm insurance eligibility and resolve discrepancies.
  • Understand patient billing basics and explain balances when needed.
  • Promote ancillary services and ensure utilization by staff and doctors.
  • Monitor employee timesheets to control overtime.

Operational Oversight

  • Maintain efficient and smooth practice operations.
  • Coordinate staff schedules based on patient volume and physician availability.
  • Manage inventory and ensure timely ordering of supplies.
  • Train new hires entering the practice.

Patient Experience

  • Foster a patient-centered culture for exceptional experiences.
  • Address and resolve patient complaints promptly.
  • Maintain a clean, organized office environment.
  • Handle repairs and maintenance issues in a timely manner.

Front Desk Duties

  • Greet patients upon arrival and departure.
  • Assist with questions and required forms.
  • Register new patients in EMR accurately, confirm insurance eligibility, and upload documents.

Medical Assistant Duties

  • Perform clinical entries in ModMed EMR.
  • Prepare and maintain treatment rooms.
  • Collect patient medical history and records.
  • Ensure HIPAA and OSHA compliance.
  • Assist with procedures and sterilization techniques.
  • Monitor and replenish supplies and equipment.

Required Skills & Experience

Education & Experience

  • High School Diploma/GED required.
  • 4+ years of medical reception experience preferred.
  • Familiarity with EMR systems and data entry preferred.
