National Hardwood Lumber Association (NHLA)

📍 Location: Memphis Headquarters

🕗 Hours: Monday–Friday, 8:00 a.m. – 4:30 p.m.

NHLA is looking for a reliable, friendly, and detail-oriented Office Assistant to join our team in Memphis. This role supports just about every department in some way — from answering phones and managing mailings to assisting with bookkeeping, memberships, and our Kiln Drying Certification program.

We’re a small, mission-driven nonprofit with a big heart for the hardwood industry. Our work supports sustainability, education, and promotion of real American hardwood — and our team is proud to serve the members who make that possible.

💼 What You’ll Be Doing:

Office Support & Organization

  • Be the welcoming voice on the phone
  • Keep the mail moving and the filing in order
  • Help with printing, scheduling, shipping, and anything else that helps the team thrive
  • Make sure supplies are stocked and common areas are tidy and welcoming

Bookkeeping Support

  • Process accounts payable and receivable transactions (including collections)
  • Respond to and address vendor and member inquiries related to payments and accounts.

Membership Support

  • Enter new membership applications and send welcome packets
  • Keep membership records accurate and up to date

Kiln Drying Certification Program

  • Ship certification orders promptly and track requests
  • Maintain organized files and respond to time-sensitive inquiries from members

Celebrations & Culture

  • Coordinate birthday and anniversary celebrations
  • Help plan our annual Christmas party and occasional team gatherings

Flexibility & Focus

  • Jump between tasks and departments as needed — things move fast, priorities shift, and your ability to stay focused and flexible will help keep everything on track

  • You keep AR aging clean and collections moving
  • You maintain supply levels so nothing runs out
  • You own your responsibilities and look for ways to help
  • You follow NHLA policies and stay organized
  • You jump in and take initiative — you see what needs to be done and do it

📌 What You’ll Need:

  • High school diploma
  • At least 2 years of admin or office support experience
  • Familiarity with bookkeeping, AP/AR, and collections
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • You’ve used accounting, expense and ERP software or you learn software quickly
  • Strong attention to detail, good communication skills, and a customer-focused mindset
  • Ability to juggle multiple tasks and adapt as needed
  • Comfort working in a fast-paced environment where you may be pulled in different directions — staying calm under pressure and keeping things moving is key
