Position Summary:

The Receptionist is a key member of our specialty practice, serving as the first point of contact for patients, referring offices, and vendors. This position is responsible for ensuring a professional and welcoming experience while handling administrative duties such as scheduling, patient intake, insurance verification, and communication with healthcare professionals. The ideal candidate is detail-oriented, compassionate, organized, and capable of multitasking in a fast-paced clinical environment.

Primary Responsibilities:

  • Greet patients and visitors warmly, ensuring a professional and pleasant first impression

  • Answer multi-line phones, direct calls appropriately, and respond to inquiries from patients and referring dental offices

  • Schedule and confirm appointments using medical practice management software

  • Verify insurance eligibility and benefits prior to appointments

  • Collect co-pays, balances, and necessary paperwork at check-in and check-out

  • Input and update patient information accurately into the electronic system

  • Communicate with referring providers to coordinate patient care

  • Prepare and send patient correspondence, referral letters, and post-visit reports

  • Maintain HIPAA-compliant patient records and confidentiality

  • Assist with general office tasks such as scanning, faxing, filing, and mail distribution

  • Support clinical team with patient flow and administrative needs as necessary

  • Ensure the reception area is clean, organized, and welcoming at all times

Qualifications:

  • Bachelors Degree

  • No prior experience needed

  • Excellent communication, interpersonal, and problem-solving skills

  • Strong attention to detail and ability to multitask

  • Professional demeanor and a team-oriented attitude

  • Ability to maintain patient confidentiality and adhere to HIPAA guidelines
