Job Description

Beacon Hill is seeking a highly organized and proactive Legal Operations Assistant to join a in-house Legal team at a Pharmaceutical Company. This role is essential to ensuring the efficient and effective functioning of the department, with responsibilities spanning legal workflow coordination, technology support, vendor management, and compliance-related processes. This is an exciting opportunity to contribute to a dynamic legal team and work cross-functionally with finance, compliance, and business stakeholders worldwide.

Responsibilities

  • Candidates will be supporting legal operations initiatives across the global legal team, including:
    • E-billing and matter management using CounselLink
    • Contract workflows and document retention
  • Administer and maintain legal technology platforms, including:
    • Contract lifecycle management (CLM) systems
    • Legal spend management tools
    • Legal document repositories
  • Track and report on legal department spend
  • Assist with invoice processing, budgeting, and quarterly accruals
  • Collect and analyze legal operations data, and support reporting of key metrics and performance indicators
  • Collaborate with outside counsel and internal teams to:
    • Ensure proper invoice handling
    • Facilitate contract review, approvals, and execution
  • Maintain and organize legal records, contracts, and policies to ensure audit readiness and regulatory compliance
  • Minimum of 3 years of experience in legal operations, legal support or contract administration preferred
