Doyle & Seelbach PLLC is on the hunt for a friendly, detail-loving, ultra-reliable Intake Coordinator & Administrative Assistant to join our growing litigation team! We’re a rapidly growing Austin-based litigation firm with 30+ team members and a statewide practice that covers personal injury defense, employment, business, construction, and real estate disputes. We take our work seriously—but not ourselves—and we’re looking for someone who’s ready to be part of a team that works hard, communicates well, and genuinely supports each other.

What You'll Be Doing

You’ll wear a couple of important hats— Client Intake Ninja and Administrative Support Hero —playing a key role in keeping our practice running smoothly.

As our Intake Coordinator, you’ll:

  • Be the warm, professional first impression when new clients, adjusters, or attorneys call or email us with a new assignment
  • Gather intake information and make sure it’s entered into our systems accurately
  • Help schedule initial attorney calls and follow up on open referrals or questions
  • Track everything like a pro so nothing falls through the cracks

As our Administrative Assistant, you’ll:

  • Help the legal team with filing and managing documents
  • Handle incoming and outgoing mail, including legal filings and service of process
  • Keep our case files updated and organized
  • Keep our kitchen fully stocked with goodies
  • Jump in with other admin tasks that help our paralegals and attorneys focus on legal work

What We’re Looking For

  • A natural communicator—calm, clear, and confident on the phone and over email
  • Organized and dependable (aka you’ll never ghost your calendar)
  • Quick to learn and tech-savvy (bonus points for experience with Microsoft Office or Clio)
  • Someone who thrives in a fast-paced legal environment without dropping the ball
  • Prior legal admin or client intake experience is a nice-to-have , but not required

What We’re Offering

  • Hourly Rate: $21–$25/hour, depending on your experience and skills
  • Full-time, 40 hours/week with opportunity for overtime
