Job Description
Ashlar Homes is seeking an experienced and highly organized Executive Assistant to the CEO and COO. This individual will serve as the right hand to both executives—providing professional, proactive, and confidential administrative support. The Executive Assistant will ensure that both leaders are able to focus on strategic priorities by managing their schedules, communications, and day-to-day tasks efficiently and with discretion.
This role requires a confident, detail-oriented professional who can anticipate needs, make sound decisions, and protect the executives’ time while maintaining exceptional internal and external relationships.
Key Responsibilities
Manage and prioritize emails, correspondence, and follow-ups for the CEO and COO.
Maintain and coordinate calendars, appointments, and meetings—including preparation of necessary materials and agendas.
Attend meetings as requested and take detailed notes, ensuring proper documentation and timely follow-up on action items.
Organize and maintain electronic and physical files to ensure efficient document management.
Serve as the first line of communication for the executives—screening messages and requests, and determining which require executive involvement versus independent handling.
Schedule and coordinate company and personal reservations (dinners, events, etc.) for the executives.
Draft correspondence, reports, and presentations as needed with professionalism and attention to detail.
Uphold confidentiality and discretion regarding company information and internal discussions.
Maintain a proactive, solution-oriented approach to both small and large tasks.
Support company initiatives and cross-departmental communication as directed by leadership.

Qualifications
Minimum of 3 years’ experience supporting senior leadership or executives, preferably in a fast-paced, growth-oriented environment.
High proficiency in Google Workspace tools (Gmail, Calendar, Sheets, Docs, Drive).
Exceptional written and verbal communication skills.
Strong judgment, discretion, and ability to manage sensitive information.
Assertive yet professional demeanor—able to protect executive time while maintaining approachability and tact.
Highly organized, resourceful, and capable of managing multiple priorities simultaneously.
Positive attitude with a willingness to take ownership of both small details and large responsibilities.
Work Environment
This is an in-office position based at Ashlar Homes’ main office, with the flexibility to work remotely up to two days per week. Standard business hours apply, with occasional need for flexibility during high-demand periods or executive meetings.
