We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to join our team. The successful candidate will play a key role in supporting our financial advisors and ensuring the smooth, efficient operation of our business. Taking initiative, working independently, and maintaining a high level of attention to detail are essential qualities for success.

Responsibilities

• Serve as the first point of contact for incoming client calls and emails, providing a professional, welcoming experience.
• Assist clients with general inquiries and time-sensitive requests, directing them to the appropriate team member as needed.
• Maintain accurate and up-to-date client information in our CRM.
• Support a smooth and positive onboarding experience for new clients.
• Provide comprehensive administrative support to financial advisors, including calendar management, email inbox monitoring, and task coordination.
• Manage pre- and post-meeting activities, ensuring timely follow-up on action items.
• Process client service requests and new account applications with accuracy.
• Assist with special projects, firm initiatives, and data tracking.

Qualifications

• Industry experience (3+ years preferred) as an Administrative Assistant, Office Manager, or similar role, within a financial services environment.
• Ability to prioritize tasks, manage multiple deadlines, and work effectively in a fast-paced environment.
• Excellent written and verbal communication skills with a professional and articulate phone manner.
• Exceptional organization skills, attention to detail, and problem solving ability.
• High degree of professionalism, discretion, and ability to handle confidential information.
• Proactive and resourceful with a strong work ethic.
• Ability to work independently as well as collaboratively with the team.
• Knowledge of CRM systems (e.g. Salesforce) is a plus.
• Familiarity with financial planning terminology or investment operations.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software and systems.
